2019 Resource fair guidelines
Thank you for being part of the 2019 Baton Rouge Pride Fest. We hope you enjoy your time on Saturday, June 15, 2019 and invite you to be back for Baton Rouge Pride 2020! Below you will find some handy information that you will need to know for Pride Fest. This includes your table or booth assignments, some FAQs and a layout of the Arena. Also, please add your business to the LGBT Business Directory by clicking the button at the bottom of this page.
When can I setup my table/booth?
We will have everything ready for you to set up by 9:30 a.m. You are welcome to arrive any time after that to set up and we can arrange a slightly earlier setup time for you, if needed. We do request that you have everything in place before 11:30 a.m. so you are ready to greet guests when the event officially begins at 12:00 p.m. (The doors open to the public at 11:30 a.m.)
What are the Security Procedures of the River Center?
Please plan to arrive as early as possible as the Raising Cane’s River Center has strict security procedures for packages
entering the facility. This means every item that enters the River Center must be inspected; every box, bag, suitcase or any other container you bring in will have to be checked, please plan accordingly. With more than 75 resource fair participants to check in, it will take some time. We apologize for any inconvenience for this procedure, but it is for your safety and the safety of all BR Pride participants.
Where can I park to unload the day of Pride Fest?
You will be allowed to pull into the unloading near the main entrance for unloading only. You will not be allowed to park in that area for any length of time. Parking is available on nearby streets or in the River Center parking garages. Please note that the City-Parish government – not BR Pride – will be charging $5 event parking rates for the River Center garages. The garages are cash only.
What comes with the table or booth?
All tables will be covered with plastic table covers, but you are welcome to bring your own and replace that one. Each table will be equipped with two chairs, and booths will have four chairs.
What can I attach to the table or booth?
You also may hang banners from the front of your table, but please remember that you are not allowed to mount anything to walls or partitions in the River Center or to use any materials that will damage surfaces or leave permanent marks.
How does the electrical service work?
For those of you who paid for electrical service, the River Center will provide a live hookup for you, but you will need to supply your own extension cords and plug bars. For others, keep in mind that if you did not request electrical service in advance and make the payment charged by the River Center, you will not have access.
Can I bring or sell in any food or beverages?
No Food or Beverages may be sold at the Resource Fair. Our contact with the River Center allows only the River Center to
provide food and beverages to attendees. Should you wish to become a food vendor for the River Center, contact the River Center directly or visit http://raisingcanesrivercenter.com
How about fun things like Glitter and Confetti?
Sorry, but No Glitter or Confetti may be used. As subject to our contact with SMG any use of glitter and confetti is banned within the River Center. Anyone using or distributing these items at their table or booth may be asked to leave.
How long do I have to stay?
The resource fair runs from 12 p.m. until 7 p.m. We certainly hope you will be there for that full amount of time, and we can’t stress enough that we ask you to please be there and ready before 11:30 a.m. For those of you who want to enjoy the final hour of entertainment, we certainly invite you to stay at your tables or to find another seat in the arena and to pick up your material when everything ends at 7 p.m. You don’t have to be in a tremendous hurry to get out, so we certainly don’t want you to feel that way!
How much can I bring in?
Except for those of you with booths, everything you bring must fit on the top of the table within your assigned area. (We must keep aisles clear to satisfy fire marshal regulations, so this rule must be strictly enforced. If you intend to put something on the floor, plan to remove your chairs and place any banner stands or other material against the back of your table – and it can extend no further away than chairs would be if you were sitting in them at the table. Keep in mind that such methods are discouraged for “table” vendors because they also would block the view of other table vendors. Keep in mind, if the fire marshal finds a violation, they could ask you to remove the item or to simply leave. We have no control over that.
